Privacy

MAVWA policy allows the publication of MAVWA members’ email addresses in MAVWA printed materials, but does not allow the distribution of members’ email addresses in digital form. The exception being that a digital list of members’ email addresses be available only to those MAVWA Directors who require it to conduct MAVWA business. A digital list of members’ email addresses will not be available to any other MAVWA member.

Policies will be linked on the membership section of the MAVWA Dropbox so that all procedures will be in one location for all members to review.


Board Meeting Minutes


Agenda Items for Board Meetings

Agenda items must be presented to the Chair two weeks prior to the next meeting.


General

All presentations at a Board of Directors meeting will be 15 minutes or less.


Jury Meeting

The jury meeting for the Taos Wool Festival is an executive session – composed of current elected board members.


Password Policy

Login credentials for all MAVWA accounts necessary to conduct MAVW business are to be in the hands of the person in charge of said account. The Data Manager and the Board Chair are responsible for storing and safekeeping all login credentials.


MAVWA Members attending Board Meetings

The general membership may attend regular board of directors’ meetings with two weeks prior permission to present legitimate business before the board. If the board needs to go into executive session, the member will be dismissed.


Financial

The quarterly financial statements will be made available on the MAVWA Dropbox. Membership will be notified through a newsletter.


Expenditures

Expenditures presented for reimbursement must have prior approval by the treasurer and the chair.


Requests between Board Members

General requests for assistance, responses to questions, or to a specific task to be done will be addressed by the applicable BoD personnel within 5-7 days.

For issues that are urgent due to something unforeseen or for some other reason: stated as such by the requestor and addressed by the applicable BoD personnel within 3 days.


BoD Participation

Commitment to participating on the MAVWA Board of Directors includes treating all board members and MAVWA members with respect, tolerance, and professionalism, and that all BOD members create a safe, open space in order to conduct business. This requires members to speak honestly, listen, ask questions, and bring up points of conflict when necessary in order to resolve them as a group.


MAVWA Wool Festival Promotions Submissions Guidelines

Program Submissions for the Program are Due by August 30th . All information needs to be complete and edited; we will not edit your submission. Text information can be submitted as plain text (preferred) or in 'Word' format. Schedules and similar can be submitted as either text with the items in each line separated by commas or tabs or ideally as a simple spreadsheet; with no merged cells, formulas, etc..

The primary thing to keep in mind is that the purpose of these posts is to drive traffic to the relevant content on the MAVWA Wool Festival web site, where the visitors will hopefully also look around a bit and ideally be inspired to attend or become involved in our festival. Items to be considered for possible posting should be submitted at least one week and preferably two weeks before the desired posting date. You may request a date that your post be on or before, but we cannot guarantee any particular date.

The following items are required for your post to be considered: 1) Page on the MAVWA Wool Festival Site that the post is to point to 2) Description of the subject of the post. More than just a caption, this can be as much as a short paragraph and will be the text that appears along with the image. This description also needs to include several relevant hash tags after the actual description, beginning with these first five : #mavwa #wool #festival #mavwawoolfestival #fiberarts Then on with specific tags for your post: #knitting #spinning #contest - and so on. 3) A short blurb that sums up the post in 3-5 words. This is the text that will be part of composite image. Ideally it makes some interesting point about the subject. There are many examples of this in our existing posts, have a look at our Instagram or FB pages to get some ideas. 4) A photo if you have one*. The photo should be at least 900 pixels on the short side and can be in nearly any format as long as it is less than 10mb. The photo should be well composed, reasonably well-lit and have an obvious subject. If you have more than one photo it is fine to send a few for us to choose from. *If you do not have a photo for your proposed post, we may have something in our archive we can use; If we cannot come up with anything we will let you know.


Website

All information needs to be complete and edited; we will not edit your submission. Text information can be submitted as plain text (preferred) or in 'Word' format. If it is to be a linked .pdf file, it needs to be submitted ready to upload. Schedules and similar can be submitted as either text with the items in each line separated by commas or tabs or ideally as a simple spreadsheet; with no merged cells, formulas, etc.. Documents such as .pdf forms that are meant to be completed and returned, need to have full instructions on how to do so; if you have questions about a web related part of this please ask.
